Set up LP emails

Choose what each notice email to a fund's LPs contains and which contacts receive it: fund defaults, LP groups, changes for one send, mandatory notices and the digest, read receipts, and withdrawing a delivered document.

Before you start

Notice emails go to the contacts on each investor’s record in the investor registry. Give every contact an email address and a contact role (Primary, Authorized signatory, Finance, Operations, Legal, Tax, or Other), because the settings below choose contacts by role.

The settings live on each fund’s LP emails tab. LP groups live under Investors › LP groups. Both are open to the roles that edit the investor registry across the whole organization: org admin, fund manager, fund controller, fund accountant, investor relations, and fund administrator. See Roles and permissions.

What every email contains

  • Always: a verification code at the bottom that the LP can check on the portal’s Emails we sent you page. An email sent to the address an LP signs in with also shows that LP’s private security phrase at the top, if they have set one.
  • By default: a link to the portal. Every kind of notice below lets you leave it out.
  • The sender: “<Your organization> via NAVdryx”, from one verified address with no reply address. The email tells LPs to reply by sending a message in the portal.
  • Never: bank details, in the email or in any attachment. A tax document is never attached, whatever the settings say.

What you can choose depends on the kind of notice:

NoticeWhich contactsPortal linkAmountDue datePDF notice
Capital callsYesYesYesYesYes
DistributionsYesYesYesYes (the payment date)Yes
StatementsYesYes———
Tax documentsYesYes——Never attached
Consents and electionsYesYes———

Until a fund saves its own settings, every contact gets the email, every email links to the portal, and capital call and distribution emails include the amount, the due date, and the PDF notice. The PDF notice always shows the amount and due date: unticking Amount or Due date changes only the email.

With Portal link off, the email has no link, no button, and no web address. It tells the LP to sign in to the portal the usual way: the address they always use, or the NAVdryx app. Everything else stays: the verification code, the security phrase on emails to an LP’s sign-in address, and the line on capital call and distribution emails that the fund never sends or changes bank details by email. Some funds turn the link off because they teach their LPs never to click a link in an email.

Notices with no settings on the LP emails tab always link to the portal: requests to sign, message replies, documents shared to the data room, and alerts about changed bank details or call-back numbers.

Set a fund's defaults

  1. Open the fund’s LP emails tab. Each kind of notice has its own card. A card that says it is not saved for this fund yet shows the standard settings.
  2. Choose the contacts. In the Default row, tick All contacts, or tick the contact roles that should receive the email.
  3. Choose the content. Tick Portal link to include a link to the portal; every kind of notice offers it. For capital calls and distributions, also tick whether the email includes the amount, the due date (the payment date, for a distribution), and the PDF notice.
  4. Save the card. Each card has its own Save button and saves separately.

Under each row, a note counts the fund’s LPs that the chosen roles miss: LPs that have reachable contacts, but none in those roles. It names no investor. For a mandatory notice it says those LPs will receive it at every contact; for an optional email, it says they won’t receive it.

LP groups

Use a group when some LPs want more or less in their emails: fewer contacts, no portal link, no amounts, no PDF. A group on its own changes nothing. What its LPs receive is set on each fund’s LP emails tab, per kind of notice.

  1. Create the group. Go to Investors › LP groups. Under New group, enter a name and a description of what these LPs asked for, then select Create group.
  2. Add its LPs. On the group’s page, choose an investor and select Add to group. An LP can be in one group only, so investors already in a group are not offered.
  3. Set what the group receives. On each fund’s LP emails tab, every group has its own row, so you can set one up before its LPs invest in that fund. Choose Same as default to follow the Default row, or Custom to give the group its own contacts and content, then save the card. The send screens show only the groups that have LPs in that fund.

An organization can have up to 200 LP groups. Deleting a group sends its LPs back to each fund’s default emails and removes its settings on every fund. Emails already sent keep the choices they were sent with. Deleting a group can’t be undone.

Change the choices for one send

The screens that send a notice show the same table, filled in from the fund’s settings and its LP groups:

  • Email to LPs, on a capital call or distribution’s “Send to LPs” step;
  • Email options, on a report’s “Publish” step;
  • Email options, on a K-1’s “Deliver” step in the K-1 tracker.

Change anything there for this send only; the fund’s settings stay as they are. What the send used is recorded with it, so a later change to the settings or the groups never changes what an earlier send did. If the settings or the groups change after you open the page, the send is refused with a request to reload and review.

A sender whose role can’t see LP groups (a tax advisor delivering K-1s, for example) sees a note instead of the table, and the fund’s saved settings apply. Consent requests and continuation-vehicle elections have no email options on their own screens: the fund’s saved settings for consents and elections apply when the email goes out.

Two notices choose their own recipients. An LPAC consent request goes only to the investor’s LPAC member, and a request to sign goes only to the assigned signatory.

Mandatory and optional emails

Who receives itEvery chosen contact with an email address, with or without a portal login. If the chosen roles leave an LP with no contact who can be reached, every contact of that LP gets it, and the fallback is recorded.Chosen contacts who are active portal users and have that kind of email turned on. If the chosen roles match nobody at an LP, that LP gets no email.
TimingStraight away, always.Straight away, or in the LP’s digest if they chose one.

Alerts about changed bank details or call-back numbers ignore the contact roles: they go to every contact of the investor. Message replies, documents to sign, and shared documents have no settings on the LP emails tab. They go to the investor’s portal users, and a request to sign goes only to the assigned signatory. A reply to a suspicious-email report sends no email or push at all: the LP who reported it sees the reply in the portal. Newsletters and legal notices are sent from the newsletters module, to its own audience. LPs can turn newsletters off, but not legal and regulatory notices.

The digest is one email a day or a week that collects an LP’s statements, message replies, documents to sign, and shared documents. Daily digests go out at 07:00 UTC, and weekly digests on Mondays at the same time. LPs choose the digest themselves, on the portal’s Communications page. Each entry links to the portal only if its own notice includes the link: a statement sent without the link is named but not linked. If no entry is linked, the digest has no link at all and tells the LP to sign in the usual way to see everything.

Read receipts and downloads

A read receipt is recorded when a contact opens a delivered notice or document in the portal. Downloads are counted separately. Only portal users can open a delivery, so a contact without a login never counts as a reader.

  • Capital calls and distributions. Once notices are issued, the event’s Allocations table shows, for each LP: when the notice was issued and sent, how many of the investor’s portal contacts opened it and when it was first opened, and how many times it was downloaded. “Download read receipts (CSV)” exports the same figures.
  • Reports. The report’s Deliveries card lists each investor it reached, when, and when it was first opened.
  • K-1s. The K-1 tracker lists each K-1’s deliveries.

The receipts count how many contacts at an LP opened a notice; they don’t name which contacts.

Withdraw a delivered document

Withdraw a delivery that went to the wrong investor, or that delivered the wrong file. The Withdraw action sits beside each delivery: in the Sent column of a capital event’s Allocations table, on a report’s Deliveries card, and in the K-1 tracker.

  1. Give a reason, such as “sent to the wrong investor”. It is kept on the withdrawal record.
  2. Confirm. The document disappears from the investor’s portal at once, and its download stops working. Your team still sees the delivery, marked Withdrawn with the time.

A withdrawal can’t be undone, and an email already sent stays sent. To correct a report or a K-1, deliver the right one again; a capital call or distribution is corrected by reversal (see Issue a capital call). Whoever may send a kind of document may withdraw it. Withdrawals are not available in the demo workspace.
